How to book time against tasks, set user schedules, and use the Time Manager tab for capacity planning and analytics in FlowDeck.

Time Tracking

FlowDeck includes built-in time tracking so you can log effort against tasks, manage team availability, and plan capacity across your projects.

Booking Time Against a Task

To log time against an atom (task), open the task detail view and locate the Time section. Click Book Time, then enter:

  • Date — the date the work was performed.
  • Duration — how many hours and minutes to log.
  • Note (optional) — a short description of what was done.

Click Save to record the entry. All logged time for a task is shown in the Time section, along with a running total.

User Schedules and Weekly Availability

Each team member can have a schedule configured that defines their weekly availability. This is used by FlowDeck's capacity planning features to understand how many hours of work a person can realistically take on in a given week.

To view or edit a user's schedule, go to the Time Manager tab and open the Users section. Select a user to see their configured availability and any time already booked in the current period.

The Time Manager Tab

The Time Manager tab in FlowDeck provides a dedicated interface for managing time across your organization. It has four sections:

  • Tasks Dashboard — an overview of time booked across all tasks, with filters by project, assignee, and date range.
  • Users — view individual schedules, availability, and logged time for each team member.
  • Analytics — charts and summaries showing time allocation, utilization rates, and trends over time.
  • Planner — a calendar-style view for scheduling work across the team, taking availability into account.

Capacity Planning

The Planner and Analytics views help you identify over-allocated team members and redistribute work before deadlines are missed. Use the Planner to drag and drop task assignments into available time slots, and use Analytics to spot patterns in how time is being spent.
